Overview

Sharing is the final step in turning a captured workflow into something useful. The right sharing method depends on who you’re sharing with, how they’ll use the document, and whether it needs to stay up to date.

Share as a Link

Best for:

  • Internal teams

  • Ongoing processes

  • Documents that may be updated over time

Why use a link:

  • Always shows the latest version

  • Easy to distribute across chat tools, emails, and project boards

  • Ideal for living documentation and SOPs

Keep in mind:

  • Anyone with access to the link may see future updates

  • Not ideal for one-time or final deliverables

Share as a PDF File

Best for:

  • External clients

  • Compliance or record-keeping

  • One-time sharing

Why use a file:

  • Fixed version that won’t change

  • Easy to store, print, or attach to emails

  • Clear snapshot in time

Keep in mind:

  • Updates require re-exporting and re-sending

  • Not suitable for frequently changing workflows

Choosing the Right Option

Before sharing, ask:

  • Will this document change? → Share a link or embed

  • Is this a final version? → Export as a file

  • Where will it be used? → Choose the format that fits the workflow
